It is the auditor’s responsibility to obtain sufficient appropriate audit evidence to determine whether those representations can be relied upon. Depending on the nature of the asset and the risks involved, auditors use a combination of procedures, including inspection, observation, recalculation, analytical procedures, and external confirmations, to test management’s assertions and verify assets and balances.

In this situation, assets verification comes into play. Let’s understand it in detail now.

What is verification of assets?

The question sounds simple. What is verification of assets, really, beyond a line item in an audit program?

Asset verification typically focuses on three key questions: does the asset exist, does the organization have rights to it, and is its recorded value reasonable? Any failure of these three points would reduce the credibility of the Balance Sheet.

Under PCAOB auditing standards, auditors evaluate management assertions such as existence, rights and obligations, and valuation when obtaining audit evidence. This is one of the categories of management’s implicit assertions when preparing financial statements, along with other categories including completeness, rights and obligations, and valuation. Assets verification relies on audit evidence obtained through procedures designed to test management’s assertions.

Outside the U.S., it holds in the same way. ISA 505 governs the use of external confirmations when auditors determine that third-party evidence is an appropriate audit procedure.

Why verification cannot be skipped

Cash misrepresentations, overstatement of accounts receivable, and double-counting or non-counting of inventory are common practices. Every fraud case study starts in the same way—with numbers that look good on paper.

According to the CPA Journal, “Substantive tests for existence go beyond just the accounting records and demand convincing evidence that the asset exists. It proves nothing. An accounting entry is an assertion, not a fact.”

This is not a new lesson. Confirmation became standard practice in the United States after the McKesson & Robbins case in 1938, when a company reported fictitious inventory and receivables that a basic third-party check would have caught. The lessons from the McKesson & Robbins fraud continue to influence modern auditing standards and confirmation practices. The mechanism has changed since. The reason for it has not.

Regulators keep tightening confirmation standards for the same reason. The PCAOB’s confirmation rule had gone largely unchanged for three decades, despite confirmations touching nearly every audit engagement performed in the United States. The Board finally rebuilt it. Chair Erica Williams noted that the prior standard on verifying financial statement assertions with a third party had not been substantively updated since 2003, and originally dated back to 1991. Business changed. Fraud tactics changed. The rulebook had not.

In light of this approach, the newly amended AS 2310 becomes relevant. The updated standard is designed to better integrate confirmation procedures with the PCAOB’s risk assessment framework.

The verification process, step by step

Ask an auditor about the asset verification process, and the answer will follow a systematic pattern: identify, verify, corroborate, and record.

Initially, establish the scope. Which account poses the highest chances of being overstated? Accounts such as cash and receivables usually lead, followed by fixed assets, investment, and inventory.

The second step is to determine which technique to use. Independent confirmations are often among the most persuasive forms of audit evidence for cash, investments, receivables, and debt balances. External sources carry much more weight than internal sources do. As highlighted by the AICPA in SAS 142, external confirmation techniques may be used to collect audit evidence regarding assertions about particular accounts, and such evidence need not be limited to balances. It could also relate to the terms of a particular agreement or to any side agreement that would affect revenues.

Third is implementation with adequate controls. The auditor issues the request for information, receives a response, and ensures that the client did not influence the exchange. The auditor should maintain control over the confirmation process, including the receipt and evaluation of responses.

Fourth, act on exceptions. A non-conformity between the response received and the accounting records should not be ignored but rather investigated.

Finally, document. Document the selected items, the basis for selection, the responses received, and the resolution of any differences.

At its core, asset verification answers a simple question: can the auditor rely on management’s representation of the asset?

Where the process breaks down

Most problems arise due to a few mistakes. For instance, auditors may issue confirmations based on the address given by the client without further confirmation of its correctness. Relying on a lack of response as a pass when alternative measures could have been considered. Confirmation of balance without terms, ownership, or restrictions relating to that particular asset.

Physical examination also has its loopholes. Physical examination of an asset may confirm its existence, but it cannot prove that the organization has rights over the asset. When the inventory is stored in warehouses, it confirms that the inventory exists, but it does not mean that the inventory belongs to the client in its entirety. Ownership and existence are distinct tests, and combining them is common practice.

Date is also an important factor. If the confirmation is conducted several weeks after the end of the period, using old records, the conclusion becomes questionable. While more recent confirmations may reduce the need for additional procedures, auditors routinely perform roll-forward testing when confirmations are obtained before period end.

Asset verification involves more than confirmations

External confirmations are only one component of the asset verification process.

Depending on the nature of the account and the associated audit risks, auditors may also perform:

Inspection of supporting documentation

Physical observation of assets

Recalculation of balances and valuations

Reperformance of controls or procedures

Analytical procedures

External confirmations

The appropriate procedure depends on the financial statement assertion being tested and the quality of audit evidence required.

For many financial assets, such as cash balances, investments, receivables, and debt obligations, external confirmations often provide some of the most persuasive audit evidence because the information originates from an independent third party.

Best practices for CPAs

Several things separate a good audit working paper from a bad one.

Always verify assets independently: Verification of an asset’s existence involves obtaining information from a source outside the client’s control. Otherwise, any kind of confirmation would have little evidentiary value.

Match the procedure to the asset: Use bank confirmations for cash, title searches for real estate, and custodian confirmations for securities. No standard form fits all accounts.

Ask for current evidence of the asset: An account statement from eighteen months ago does not represent today’s situation.

Document the asset verification process to withstand scrutiny: Peer review, a PCAOB inspection, or litigation may follow, and it should be solid even without the auditor present.

Think of technology as a means of doing something, not a shortcut: even the PCAOB acknowledges that, nowadays, the process includes electronic confirmation and the use of third parties. However, it does not release an auditor from responsibility for the entire process.

Where an asset verification solution fits in

Manual confirmation still works, but it is slow, and it scales poorly across large client rosters. This is where a structured asset verification solution earns its place. It standardizes requests, tracks responses, flags exceptions, and keeps a clean audit trail without adding hours to the engagement.

In our interactions with businesses, the challenge will seldom be one of decision-making; instead, it will usually be an issue of logistics. Seeking out a banker for their signature or having to resend a confirmation that ended up in the wrong inbox are examples of the challenge. Asset verification software removes the challenge without interfering with the auditor’s ability to control the process.

For a CPA overseeing many confirmations during peak times, this is not an option but a necessity. Verification standards have not become any easier; indeed, the software solutions used for the task must not merely meet them but also rise to them. AuditConfirm helps CPAs with this.

Which assets can be verified electronically during an audit?

Not every asset can be verified through external confirmations. Auditors use different procedures depending on the nature of the account and the financial statement assertions being tested.

However, many financial assets are particularly well suited to electronic verification and direct-source audit evidence, including:

Bank accounts and cash balances

Investment and brokerage accounts

Marketable securities

Loans and borrowing facilities

Credit facilities and lines of credit

Escrow and trust balances

Certain receivable and payable balances

For these accounts, direct confirmations from financial institutions often provide highly persuasive audit evidence relating to existence, rights and obligations, completeness, and valuation.

This creates a very natural transition into AuditConfirm.

Closing thought

It is not a question of mistrust in assets verification. It has everything to do with evidence provided in its own right and is well supported enough to withstand any scrutiny. Any CPA who has had to defend a file in peer review knows this much.

AuditConfirm is designed to support modern confirmation workflows by allowing auditors to obtain direct-source evidence directly from financial institutions while maintaining full control over requests and responses.

The platform supports:

Access to more than 44,000 financial institutions

Coverage across more than 195 countries

Direct-source electronic audit evidence

Auditor-controlled confirmation
